How we protect your data
This page explains, in plain words, what personal data Ritz7 Automations Private Limited ("Ritz7", "we") collects, why we collect it, who we share it with, how long we keep it, and how you stay in control. We follow India's Digital Personal Data Protection Act, 2023 and its Rules. It sits alongside our Privacy Policy.
1. The short version
- We ask only for what we need to do what you asked: hold a call, run a programme, send your score.
- We never sell your data.
- You can see, correct or delete your data, or withdraw your consent, at any time.
- We delete data on a fixed schedule (section 6), not "whenever".
- Questions or complaints go to our grievance officer, Ritesh Hegde, at [email protected].
2. What we collect, and why
When you book a call
We collect: name, email, WhatsApp number, company, what you want to discuss, and your GSTIN if you want a GST invoice.
We use it to: hold your slot, send the invite and reminders, prepare for the call and issue invoices.
When you take the AI Readiness Score
We collect: your WhatsApp number, your answers, your name and email.
We use it to: work out and send your score and plan, and set up a call if you ask for one.
When you join a programme or masterclass
We collect: name, email, WhatsApp number, business, state and GSTIN.
We use it to: register you, take payment, send joining details and reminders, and issue invoices.
When you fill in a survey or enquiry form
We collect: your answers and contact details.
We use it to: plan the session or reply to your enquiry.
When you message our WhatsApp number
We collect: your number and your messages.
We use it to: answer you. An AI assistant may reply first, and a person takes over when needed.
When we speak on a call
We collect: a recording and transcript, when the call is recorded.
We use it to: keep accurate notes and a clear record of what we agreed.
When you visit this website
We collect: device, browser and pages visited, through cookies.
We use it to: keep the site working and understand how it is used.
3. Our basis for using it
- Your consent, when you tick the consent box on one of our forms or opt in to updates.
- What you asked for: details you give us for a specific purpose, such as booking a call, are used only for that purpose.
- The law, for example keeping invoices for tax.
Tips and offers are always a separate box that starts unticked. Saying no never stops you using our services.
4. AI and call recordings
We build with AI and use it in our own work. Calls and meetings may be recorded and transcribed with Google Meet (online calls) or Wispr Flow (calls and meetings in person). Your messages and call transcripts may be processed by AI services we use under business terms: Anthropic (Claude) to answer WhatsApp messages and summarise calls, and Sarvam, Deepgram or OpenAI to turn recordings into text. Where a provider lets us switch off the use of our data for training its models, we switch it off. We never use your data to train AI models of our own.
We tell you at the start when a call or meeting is recorded. Tell us at any point if you would rather not be recorded, and we will stop and delete that recording.
5. Who we share it with
We share data only with service providers that help us run our services, and only for that purpose:
- Supabase: our database (servers in Mumbai, India and Singapore)
- Meta (WhatsApp Business Platform): messaging
- Google Workspace: email, calendar, Meet and files
- Anthropic and OpenAI: AI processing (USA)
- Sarvam and Deepgram: speech to text
- Wispr Flow: meeting recording and transcripts
- Razorpay (India) and Stripe (international): payments. We never see your full card details.
- Zoho Books: invoices and accounts
- n8n: workflow automation
- Resend: email delivery
- Cloudflare: website hosting
- Bolna and ElevenLabs: voice agents, where used
Some of these providers store data outside India, which Indian law allows. We share data with authorities only when the law requires it.
6. How long we keep it
- Enquiries, and people we have spoken with who are not clients yet: 18 months after your last reply, call or meeting with us. Follow-ups from us that you do not reply to do not extend this.
- Client projects (project files, call recordings and transcripts): while the project runs, then 90 days after it closes. A project closes when it is paid in full and both sides agree the work is done.
- Other call recordings: 90 days.
- Programme participants: while the programme runs, and 2 years after it ends.
- Invoices and payment records: 8 years, as tax and company law require.
- Consent records: as long as we hold your data, plus 3 years, so we can show what you agreed to.
When the time is up, we delete the data, including from backups within 30 days, and keep only a note that it was deleted.
7. When we build systems for your business
If we build automations for your business, your customers' data stays yours. We use it only to run what you asked for, keep it in a separate project for your business, tell you within 24 hours of becoming aware of any breach, never use it to train AI, and return or delete it when our work ends. We put these terms in writing with every client in a Data Processing Addendum.
8. Your rights
- Know what data we hold about you and how we use it.
- Correct, complete or update it.
- Ask us to delete it.
- Withdraw your consent at any time: reply STOP on WhatsApp, or write to us. It is as easy as giving consent, and it does not affect anything done before.
- Nominate someone to act for you if you cannot.
- Complain to us and, if you are not satisfied, to the Data Protection Board of India.
Write to [email protected] with "Data protection" in the subject. We acknowledge within 7 days and resolve within 30 days. We may first ask you to confirm who you are.
9. Keeping it safe
We protect data with encrypted hosting, access limited to the people who need it, and a separate project for each client's data. If a breach puts your data at risk, we will tell you without delay and report it as the law requires.
10. Children
Our services are for adults aged 18 or over. We do not knowingly collect data from anyone under 18 without verified consent from a parent or guardian. If we find that we have, we delete it.
